AI supplier-email parsing extracts order information from a supplier message and associates it with the relevant purchase order. Its useful output is a reviewable change with source evidence: a quantity, price, ETA, substitute, invoice reference or shipment detail the team can act on.
Extraction does not establish commercial approval. A supplier can clearly propose a change the buyer should reject. A document can describe a shipment without proving that goods arrived. Those distinctions belong in the workflow.
Start with the order and its source
Before interpreting a message, the system needs to identify the supplier, buyer location and order. A supplier email can refer to several POs, omit a PO number or use an internal reference the buyer has never seen.
Keep the original message and attachments available. If the match is ambiguous, resolve it before applying quantities or prices. A duplicate forward should not create a second purchase or receipt.
LineNow connects supplier communication with the purchase-order record. Its message-processing workflow includes order matching, structured item changes and document handling. Validate your actual channels and document formats during setup; an integration logo is not evidence that every attachment or supplier portal is supported.
A supplier reply with four different decisions
Fictional supplier reply · PO 1042
Read the reply. See what changed.
Original PO: 8 cases × 12 bottles · $36 per case · $288 goods total
Re: Purchase order 1042
Supplier to Purchasing team
Hi team,
We can send six of the eight cases Thursday.
Thursday is dispatch. Confirm arrival.
The other two are due Monday.
Confirm whether Monday is dispatch or arrival.
The price is now $38 per case.
$288 → $304 in goods. Buyer reviews the price.
Can we substitute the blue bottles for the green ones?
Confirm the product and pack before accepting.
Thanks,
Your supplier
“Shipping Thursday” is not the same as “delivered Thursday.” Ask for the receiving date or tracking evidence needed for the business decision. No stock becomes physically available merely because this email was parsed.
Review at the field and workflow level
A useful review shows the original value, extracted value, source and decision. Test units carefully: “six” could mean cases, units, pallets or the remaining balance. Price may be per unit while quantity is in cases.
Confidence can help prioritize ambiguous extraction, but it is not permission to approve a price, substitute or payment change. Review requirements should follow the business policy and the effect of the action.
Ask how the product corrects a wrong match, restores an accidentally changed value and handles downstream records that already exist. Do not equate an activity log with a universal undo capability. Corrections to received stock or posted accounting records may need a separate approved workflow.
Preserve the receiving boundary
The receiver should see the buyer-accepted expectation and record what actually arrived. In the illustrated twelve-bottle case example, if six cases were confirmed but five arrived, record sixty bottles received and keep the missing case visible. Do not overwrite the receipt to match the email.
An invoice marked “delivery copy” can still be a commercial document. It is not physical receiving evidence by itself. In LineNow, the message-processing policy distinguishes commercial extraction from proof of receipt; the receiving workflow carries the operational check.
For substitutes, validate item mapping, usable yield and suitability before using them in recipes, components or stock. Extracting the supplier's proposed substitute does not approve that use.
Preserve the accounting boundary
Supplier messages and invoice attachments can supply invoice references, quantities, prices and terms. Finance still checks authorization, duplicates, coding, tax, credits, payment timing and unresolved discrepancies.
Treat a new remittance address or bank account as a separate verification decision through your established process. An AI-extracted field is not evidence that the payment destination is genuine.
The configured handoff should identify the objects transferred, review state, mapping and retry behavior. Test a failed sync and a corrected bill as well as the clean case.
Channels are part of the acceptance test
List the routes your suppliers use: connected email, WhatsApp, EDI, portal confirmation or a phone conversation logged by the team. For each, establish how it enters the order record and where human work remains.
A portal order may require the operator to complete checkout and forward a confirmation. An emailed PO may require a supplier account reference. The goal is a reliable shared record, not an unsupported promise that suppliers never need any setup.
Turn a supplier reply into the next follow-up
Reading the reply is only one step. The buyer also needs to know which answer is still missing, who owns it, and what would close the issue. Use the following illustrative operating checklist when evaluating supplier follow-up automation; it is not a claim that every reminder rule is configured automatically in LineNow.
| State on the PO | Question for the supplier | Evidence needed before closing follow-up |
|---|---|---|
| Order sent, no confirmation | Can you confirm the items, quantities, prices, and arrival dates? | A response matched to the correct PO and reviewed by the buyer |
| Supplier says “shipping Thursday” | What quantity is shipping, and when should this location expect it? | Shipment details and an expected arrival date; dispatch alone is not receipt |
| A partial delivery has arrived | When will the outstanding quantity arrive, or is it unavailable? | A commitment for the remainder, or an accepted cancellation or substitution |
| A price or item has changed | Does the proposal apply to this line and quantity? | The buyer's decision preserved alongside the supplier proposal |
For a fictional PO for 24 bottles, sixteen arrive and eight remain outstanding. A useful follow-up can be as simple as:
Subject: PO EX-104 — arrival date for remaining eight bottles
We received sixteen of the twenty-four bottles on PO EX-104. Please confirm when the remaining eight bottles will arrive at our main warehouse. If you cannot supply them, please tell us before we place a replacement order. Our buyer still needs to review any proposed price or item change.
Assign one person to the open question and choose the response deadline around the next buying decision. Stop chasing when the answer has been reviewed and the record updated; avoid parallel reminders from a shared inbox, an ERP, and another purchasing tool. If the reply is late or changes the plan again, escalate to the buyer instead of treating repeated reminders as a resolution.
Use the backorder decision guide to calculate the uncovered demand before buying elsewhere. For teams supplying several stores, keep the affected destination on the follow-up and use the multi-location purchasing workflow to distinguish the supplier receipt from store fulfillment.
Evaluate with a representative sample
Include a clean confirmation, missing PO number, duplicate forward, changed pack, proposed substitute, partial shipment, revised price and an invoice with a discrepancy. Count correct order matches and correct fields separately. Record review minutes and unresolved exceptions.
Any accuracy claim should state sample size, document mix, field definitions and how errors were counted. LineNow's Whitmans account describes supplier purchasing and a customer testimonial about support and flexibility. It does not establish a measured reduction in follow-up time or an extraction-accuracy benchmark.
The practical result to seek is straightforward: the buyer understands the proposal, the receiver sees the accepted expectation, and finance can explain the invoice difference from the same evidence.
