An ecommerce brand needs a reliable buying workflow across its sales channels, suppliers and fulfillment locations. Start by mapping the workflow already available in your commerce, inventory and accounting tools; a separate procurement system earns its place only when it closes a specific gap.
Shopify has native purchase orders, so the choice is not simply “channel inventory versus real purchasing.” Evaluate planning, supplier communication, physical receiving, fulfillment and financial records as separate jobs.
Combine demand without double counting
A product selling five units a day on Shopify and three on another channel has eight units of daily demand only if those are distinct sales of the same physical item. If the second channel's orders already import into Shopify, adding both feeds can count the same sale twice.
Before building a shared forecast, map:
- Each source SKU to the physical item and pack conversion.
- Which system owns each location's on-hand stock.
- Whether marketplace orders are already represented elsewhere.
- Returns, cancellations, transfers and bundles.
- Stock that is reserved, unavailable or already committed.
A single demand number does not make stock at every warehouse interchangeable. Inventory held at a marketplace fulfillment center may not cover an order promised from your own warehouse in time.
Separate stocked replenishment from dropship routing
For stocked items, forecast demand, check usable stock and dated incoming orders, then build a supplier-grouped draft. Review pack sizes, minimums, cash exposure and seasonal assumptions before sending.
For dropship items, the customer order drives supplier fulfillment. Verify the ship-to address, custom fields, supplier mapping, cancellation handling and tracking return. Do not book the supplier's shipment as a receipt into your own warehouse.
LineNow supports these as different paths: stocked replenishment can stage a cart; configured dropship forwarding can create supplier POs automatically under its rules. The Living Fit customer account describes its Shopify supplier-routing workflow, including custom order details. It is an individual implementation, not proof that every storefront or supplier is preconfigured.
Follow the order after sending
A supplier may confirm less than requested, change the price, split a shipment or propose a substitute. Keep those events with the original PO and the buyer's decision. A substitute may have a different barcode, listing, warranty or customer promise; matching the unit price is not enough.
A living purchase order can give the receiver a current expectation while preserving the original commitment. Supplier confirmation changes expected incoming stock. Physical receiving records what arrived and what was accepted. Keep the accepted undelivered balance distinct from quantities the supplier never accepted. Resolve each through delivery, cancellation or another agreed outcome.
Test the accounting boundary
Finance needs the original request, accepted changes, receipt evidence, invoice and unresolved differences. Inventory purchase cost is not automatically the cost of goods sold that month. Freight, duties, credits, deposits and currency changes need the business's accounting policy and supported integration mappings.
Do not assume a receipt in one application updates every sales channel or the accounting system. Test the specific objects and directions, error visibility, duplicate handling and recovery after a failed sync.
A simple exposure calculation
Suppose a product usually sells eight units per day at $50 and is unavailable for three days. The exposed sales are 8 × 50 × 3 = $1,200. This is an illustrative scenario, not measured lost revenue: customers may wait, substitute or buy later. Gross profit and contribution require cost assumptions, and ranking effects cannot be inferred from this calculation.
Separately, reducing inventory held at recorded cost from $40,000 to $35,000 reduces the inventory investment by $5,000. It may release working capital as purchases and payments adjust; stock still financed by supplier payables is not necessarily cash already paid. A write-down alone does not release cash. Do not count an inventory reduction as a recurring monthly saving. Measure storage or financing expense savings only where those costs actually change.
Evaluate one complete cycle
Choose a representative supplier and location. Verify demand, review the draft, send through an authorized channel, process a changed confirmation, receive a partial delivery and inspect the accounting handoff. Keep one system responsible for each real send, stock movement and bill so a parallel pilot does not duplicate transactions.
LineNow’s procurement workflow is an option when supplier execution is the missing work. Confirm item and location mappings, supplier channels, inventory ownership and accounting handoff during implementation. Check current pricing and any separately priced capabilities against your requirements.
