An easy Shopify purchasing workflow lets a buyer answer four questions: what needs stock, which supplier should receive the order, what the supplier confirmed, and what actually arrived. The number of applications matters less than whether the team can follow those answers without rebuilding the record in a spreadsheet.
LineNow’s Shopify purchase order software connects replenishment decisions, supplier-ready orders, reviewable supplier changes and receiving. This guide gives you a practical evaluation exercise for a stocked ecommerce business. For a comparison of vendors, use the Shopify procurement software buying guide.
Start with the supplier order you repeat
Choose a supplier you buy from regularly and a few representative products. Include an item bought in cases but sold individually, a bestseller and an item with stock already on order. This reveals more about day-to-day usability than importing the whole catalog and admiring a dashboard.
Write down the information your buyer needs:
- Sellable variant and supplier SKU
- Purchase pack, minimum order and price basis
- Stock on hand at the receiving location
- Open purchases and expected deliveries
- Lead time and replenishment settings
- Supplier contact and agreed ordering channel
Shopify already has native purchasing and receiving tools. Follow the native PO tutorial if that is enough for the current workflow. An additional application should earn its place by making a recurring buying problem easier to handle.
Test the buying decision
Suppose the store needs 24 more gallon bottles. One supplier sells cases of four. The buyer should be able to inspect six cases, the cost per bottle or case, and any stock already due before sending a new order.
Ask what happens when the recommendation conflicts with your knowledge. Can you adjust the quantity? Can a new supplier lead time or a slow-selling item change the decision? Can you see which purchasing settings need attention? A suggestion is useful when the buyer can check its assumptions and take responsibility for the final order.
For the underlying concepts, see reorder points, safety stock and supplier item and pack mapping.
Test the supplier reply
Continue the same illustrative order. The supplier confirms four cases now and two on Friday, with the price rising from $18 to $19 per bottle.
In LineNow, inspect the supplier message beside the reviewable PO update. The buyer should be able to confirm the new price, see the split delivery and leave the order in a state the warehouse can understand. Check who can review the change and how the team sees the current record.
This is the living purchase order in practice. The Whitmans customer story explains why keeping supplier packs, prices and replies together matters for a broad retail catalog.
Test the warehouse and accounting handoff
Receive four cases: 16 bottles arrived and eight remain due. Verify the actual destination and the item mapping. Decide which system records receiving so a second entry cannot duplicate the stock adjustment.
Then compare the invoice with the supplier-confirmed price and received quantity. A bill handoff requires the relevant accounting configuration and review. It does not mean every freight charge is automatically allocated into a per-unit landed cost. See purchasing with QuickBooks Online if that is your accounting stack.
Judge ease by the people doing the work
| Person | A useful trial question |
|---|---|
| Buyer | Can I review and send the right supplier quantities without retyping the item list? |
| Receiving team | Can I see what was confirmed and record what arrived in the correct units? |
| Owner | Can I explain why we are committing money to these items? |
| Bookkeeper | Can I trace the bill to the confirmed purchase and receipt? |
Connection, item mapping, supplier setup and replenishment settings take work. Test that work explicitly. Avoid treating “easy” as a promise of a two-click implementation or a reason to skip data checks.
Take the next step
Bring the example order to a Shopify purchasing demo and check current plans and trial details. If your suppliers fulfill customer orders directly, evaluate the separate dropship supplier-routing workflow and Living Fit story.
If you are replacing Stocky, use the migration checklist to preserve history and reconcile open purchases before expanding the new workflow.
